We are seeking a proactive and detail-oriented Administrative Officer to oversee our daily office operations and administrative processes. You will play a key role in ensuring our workplace is efficient, compliant, and conducive to productivity. This is an ideal role for someone with strong organizational skills who takes ownership of their work and strives for continuous improvement.
Job Responsibilities
Office Management: Manage the daily administrative operations, including office maintenance, vendor/supplier management, and asset control.
Process Optimization: Review and improve existing administrative procedures to increase efficiency and reduce operational costs.
Policy Compliance: Ensure the office environment complies with company regulations, safety standards, and local labor laws.
Budget Administration: Assist in managing the administrative budget, tracking office expenses, and preparing cost reports for management.
Stakeholder Coordination: Act as the bridge between the office and external partners (landlords, service providers, government agencies).
Documentation & Reporting: Draft official correspondence, maintain internal databases, and prepare monthly reports on office performance and expenditures.
Support for Management: Provide high-level administrative support to department heads, including organizing board meetings and preparing presentation materials.
Job Requirements
Education: Bachelor’s degree in Business Administration, Human Resources, or related fields.
Experience: 2–4 years of experience in an administrative or office management role.
Technical Skills:
Advanced proficiency in MS Office (Word, Excel, PowerPoint) and office management software.
Strong understanding of administrative best practices and procurement processes.
Soft Skills:
Leadership & Ownership: Ability to take charge of projects and resolve complex operational issues independently.
Critical Thinking: Skillful at identifying inefficiencies and implementing practical solutions.
Professional Communication: Excellent negotiation and interpersonal skills for dealing with vendors and internal teams.
Multi-tasking: Ability to handle varying priorities while maintaining a high standard of quality.
