We are seeking a highly professional and strategic Executive Assistant to provide high-level administrative support to our senior leadership team. You will be the right hand to our [CEO/Director], ensuring that their time and focus are optimized to drive company success. The ideal candidate must be discrete, resourceful, and capable of managing complex tasks with minimal supervision.
Job Responsibilities
Calendar & Schedule Management: Manage complex calendars, schedule meetings, and prioritize appointments to ensure the most effective use of the executive's time.
Communication Gateway: Act as the primary point of contact for internal and external stakeholders, screening calls, emails, and visitors with high level of diplomacy.
Meeting Preparation: Organize board meetings, management briefings, and conferences; prepare agendas, presentations, and record minutes for follow-up.
Travel & Logistics: Coordinate high-level travel arrangements, itineraries, and logistics for domestic and international business trips.
Information Management: Research, collect, and analyze data to prepare reports, memos, and briefings for executive decision-making.
Confidentiality: Handle sensitive corporate and personal information with utmost discretion and integrity.
Project Liaison: Act as a project coordinator for key initiatives, following up on action items and ensuring deadlines are met across departments.
Job Requirements
Education: Bachelor’s degree in Business Administration, Communications, or a related field.
Experience: 3–5+ years of experience as an Executive Assistant, Personal Assistant, or Office Manager supporting C-level executives.
Technical Skills:
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Experience with calendar management tools (e.g., Google Calendar, Outlook) and project management software.
Soft Skills:
Strategic Thinking: Ability to anticipate the executive’s needs and take proactive measures.
Communication: Exceptional verbal and written communication skills; highly articulate and professional.
Diplomacy: Ability to handle complex interpersonal situations and sensitive stakeholders with tact.
Problem-Solving: Strong critical thinking skills to resolve issues independently.
Flexibility: Adaptability to changing priorities and ability to work under high pressure.
