We are seeking a seasoned and strategic Head of Administration to lead our administrative operations and drive workplace excellence. You will be responsible for setting the standards for office efficiency, managing large-scale facility operations, and leading the administrative team to support the company’s strategic goals. Job Responsibilities
Strategic Leadership: Develop and implement administrative strategies and policies that align with the company's overall business objectives.
Operational Excellence: Oversee all office operations, including facility management, security, health & safety, and general logistics, ensuring a high-performance environment.
Budget Management: Manage the department’s annual budget, including cost analysis, expenditure control, and reporting to the Board of Directors.
Team Leadership & Development: Lead, mentor, and evaluate the performance of the administrative team (including Office Managers, Admin staff, Reception, etc.).
Vendor & Stakeholder Management: Negotiate high-level contracts with major service providers and manage relationships with external stakeholders (landlords, authorities, consultants).
Process Optimization: Drive digitalization and automation of administrative processes to streamline workflows and reduce operational waste.
Corporate Culture & Compliance: Ensure full compliance with all relevant labor laws and corporate governance standards, while fostering a positive and inclusive office culture.
Job Requirements
Education: Bachelor’s degree in Business Administration, Management, or related fields. An MBA or professional certification in Facility Management is a significant advantage.
Experience: 7–10+ years of experience in administrative management, with at least 3–5 years in a leadership/head-of-department role.
Technical Skills:
Expertise in budgeting, financial reporting, and operational planning.
Strong understanding of legal regulations related to office operations and corporate compliance.
Proficiency in ERP/Management systems and advanced office technology.
Soft Skills:
Strategic Vision: Ability to foresee administrative needs in line with company growth.
Leadership & Influence: Proven track record in managing teams and influencing cross-functional stakeholders.
Problem-Solving: Expert at resolving complex operational and crisis situations with a calm, decisive approach.
Negotiation: Highly skilled in high-stakes negotiations with vendors and service partners.
